Reporting Overview
Reports are scheduled, shareable snapshots of your inventory. Unlike the Inventory Report (which is always live), a scheduled report captures a point-in-time picture and can be emailed to you automatically on a recurring schedule.
Reports vs. the Inventory Report
The Inventory Report is a live view — it always reflects current stock levels and statuses. Use it for daily decisions: what needs ordering today, what is running low right now.
Scheduled reports are different. They generate a snapshot at a fixed time, store it in history, and optionally email it to you. Use them for periodic reviews, sharing with people who don't have Synplex access, and building a timestamped record of your inventory position over time.
Both are useful and serve different purposes. They are not interchangeable.
Available reports
Synplex comes with six pre-built reports:
| Report | What it shows | Good for |
|---|---|---|
| Stockout Risk | Products at risk of running out within 7, 30, 60, or 90 days | Weekly reorder planning |
| Out of Stock | Products currently at zero inventory, with daily sales and estimated revenue loss | Daily urgent reorders |
| Dead Stock | Products with no sales in the configured dead stock window, with cost and retail value tied up | Clearance and discontinuation decisions |
| Sales Velocity | Products with unusual sales swings — significant increases or decreases | Spotting trends and demand shifts |
| PO Overview | All purchase orders with status, costs, and suppliers — open, completed, and cancelled | Tracking what is in transit and what is late |
| Inventory Health | Total stock value broken down by status (Healthy, Running Low, Overstocked, etc.) with per-supplier and per-category views | Finance reviews and cash flow visibility |
Which report to use when
| Question | Report | Suggested frequency |
|---|---|---|
| What do I need to reorder this week? | Stockout Risk (7 or 30 days) | Daily or weekly |
| Which products are completely out of stock? | Out of Stock | Daily |
| What inventory can I clear or discount? | Dead Stock | Weekly |
| Are my best sellers changing? | Sales Velocity | Weekly |
| What is my total inventory value? | Inventory Health | Weekly or monthly |
| Which POs are delayed or coming in soon? | PO Overview | Daily |
How scheduled reports work
Each report can be configured with a frequency (daily, weekly, monthly, or manual only), a schedule time, and an optional email notification. Once configured, Synplex generates a new snapshot automatically at the scheduled time, stores it in the report's history, and emails it to you if notifications are enabled.
You can also generate any report on demand at any time without waiting for the next scheduled run. Past snapshots are stored and accessible so you can compare your inventory position across different dates.
