Configuring & Scheduling Reports

Every report in Synplex can be customized to fit your workflow. Set it and forget it — reports generate automatically on your schedule, and you can view, export, or generate on-demand anytime.


How to Access Reports

Go to Settings → Scheduled Reports. Click any report name to open it.


What You Can Configure

Configure a Report

  1. Go to Settings → Scheduled Reports
  2. Click the report name (e.g., "Stockout Risk")
  3. Click the Edit icon (pencil) or Configure button
  4. Set your frequency, schedule time, period (if applicable), and email preference
  5. Click Save

The report will now generate automatically on your schedule.

Example: Stockout Risk, every Monday at 7 AM, 30-day window, email on: Frequency: Weekly Time: 07:00, Day: Monday Period: 30 days Email: ON

Every Monday morning the report is in your inbox before you start work.


Viewing & Generating Reports

Opening a report shows the latest snapshot — the most recent auto-generated or manual run, with a data table and timestamp.

  • Generate now — Click Generate Report for a fresh snapshot immediately, without waiting for the next scheduled run
  • View history — Click the Past Reports tab to browse all previous snapshots, most recent first

When to generate on-demand

  • Before a meeting when you need current data right now
  • After a major sales event to see the immediate impact
  • Emergency check ("Is Product X still at risk?")

Exporting

Click Export (top right of any report, current or past) and choose:

Export PDF before sharing with people who don't have Synplex access. Name files clearly: Stockout_Risk_20260103.pdf not report1.pdf. Past report exports serve as a timestamped audit trail.


Tips

Stagger your reports — spread them across the week to avoid overload and match your workflow:

  • Monday 7 AM: Stockout Risk → "What do we need to buy this week?"
  • Wednesday 9 AM: Dead Stock → "What should we clear?"
  • Friday 5 PM: Inventory Health → "What's our end-of-week position?"

Use periods strategically:

  • Daily standup: 7-day Stockout Risk
  • Weekly planning: 30-day Stockout Risk
  • Monthly board review: 90-day Stockout Risk + Inventory Health

Change settings anytime — go back to Settings → Scheduled Reports, click the report, edit, and save. The next scheduled run uses the new settings immediately.


Troubleshooting

Report is empty — No products match the criteria, or data hasn't synced yet. Trigger a manual sync then generate again.

Email didn't arrive — Check spam, or verify email settings are enabled and the address is correct in the report configuration.

Export looks different than the screen — Only visible columns are exported. Add the columns you need before exporting.
